Service Engagement Conditions
For Conference Interpretation
These terms are normally negotiated between the conference organizer and the leading interpreter representing him/herself or, as the case may be, all the other interpreters to be contracted to form the required team(s); A contract or a memorandum of understanding may be signed following the agreement to the terms by both parties. The interpreters are to work with the conference organizer on the basis of mutual respect and equal footing.
I. Basic work conditions
Simultaneous interpretation is usually served by a team of interpreters. One team of interpreters only works in one booth (or room). Break-out sessions are served by the number of teams equivalent to the number of meetig rooms in which the session tracks are to take place.
An event lasting less than half a day may be covered by a team of two interpreters;
All daily events are usually covered by a team of no less than three interpreters;
If an event lasts longer than three days, the team should consist of four interpreters;
A normal working day is defined as no more than 6 hours (lunch hours excluded and a total of two sessions in the morning and the afternoon with tea breaks in between);
For their technical and terminological preparation the organiser should send the interpreters a complete set of documents (program, agenda, minutes of the previous meeting, reports, etc.) in each of the working languages of the conference as early as possible, but not later than 7 days before the beginning of the conference.
Daily rate - One day's salary is US$ 500 per interpreter with a normal team of three interpreters and US$ 650 per interpreter if the team has only two interpreters. Any meeting lasting less than a full day, for instance, a half day meeting, is charged on a full daily rate basis.
Hourly rate - One hour's salary is US$ 150 per interpreter. If the event lasts less than one hour, however, a minimum of US$ 300 per interpreter is charged.
Overtime rate - Any particular day with more than 6 hours shall be charged with over time (OT) payment, the rate of which is US$150 per hour per interpreter.
Consulting services - All inquiries regarding the specific arrangements of interpreters and the ways of organisation are deemed consulting services, the use of which may be charged accordingly. An organisation and consulting fee ranging from one day’s salary to 10% of the total remuneration payable to all the contracted interpreters may be charged if the number of interpreters to be contracted is more than one team.
Briefing and rehearsal - US$300 per interpreter for briefing and/or rehearsal lasting for no more than four hours before the start of the actual conference is charged; and
Travel days - US$ 300 per interpreter for each travelling day and/or non-working day within a contract period may be charged.
No expenses on transportation will be charged.
Outside domicile area:
Daily subsistence allowance (DSA) - A lump sum payment to the interpreters for their travel, hotel accommodation, meals and some pocket money to cover incidentals. The suggested DSA within China is between US$ 150 - 200 depending on the venue of the conference.
Hotel room provided - With this alternative the conference organiser pays each interpreter US$ 100 in cash for other necessary expenses plus a hotel room and air tickets.
Bills picked up by the organiser - In this case, the organiser covers all expenses without giving any money to the interpreter. These expenses include hotel accommodation, meals, air tickets, insurance premium for the flight, airport tax, tolls fee and taxi transportation from/to the airport/hotel.
All related expenses during the engagement is reimbursed at sight of receipts or after approximate projection. In actual payment, the service fee and expenses must be promptly paid in cash net of tax (i.e. The amount payable as specified in the contract is after tax payment) upon completion of work.
A delay charge per day equivalent to 1% of the total amount payable may be charged, unless otherwise specified in the contract, for the number of days in payment delay with one week grace period following the completion of the conference. In case the payment is made via check or transfer, a processing fee equivalent to 8% of the total amount payable will be charged.
Should the contract be cancelled by the conference organizer, the conference organizer shall pay each interpreter in question an indemnity equal to 60% of the agreed daily amount for each and every one of the contracted days.
